How to Register With the Office of Student Accommodations

Apply for Accommodations

  1. Complete the application for accommodations
  2. Submit supporting documentation
  3. Meet with OSA staff to determine eligibility for accommodations, auxiliary aids and services through an interactive process
Students Applying for Services for the First Time

Students will meet with our Coordinator or Assistant Coordinator once the application and documentation has been received to discuss what services they are eligible to receive at Reynolds.  It is the student’s responsibility to make the college aware of a disability and a need for accommodations.

  1. Complete our Application for Accommodations.
  2. Provide documentation of your disability. You can upload your documentation to our accommodations portal or provide a copy to our office prior to your intake meeting.
  3. View the guidelines for documentation of disabilities.
  4. Once you have completed the new student Application for Accommodations, check your email for confirmation and further communication. We will review the application and follow up within 2 business days to discuss the next steps and schedule your initial meeting with us.

Appointments should be made at least 30 days prior to the first day of classes, when requesting ASL interpreters or books in alternate formats (BAF).

If you have questions or haven't received a confirmation email, send an email to  osa@reynolds.edu.

Please do not delay applying for services out of concern for not having the appropriate supporting  documentation.

**Accommodations are not retroactive and begin at the time faculty receive the Notification Letter. No adjustments will be made to grades earned on tests or assignments completed prior to receipt of the accommodation notification.

Visiting Students

It is generally sufficient to submit the most recent letter of accommodations from your home college . Our Coordinator or Assistant Coordinator may request additional information at the intake meeting, if determined necessary to provide accommodations.

  2. Provide your most recent letter of accommodations. You can upload your recent letter of accommodations to our accommodations portal when completing the application, or provide a copy to our office prior to your intake meeting.

Returning Students
Office of Student Accommodations Student’s Responsibilities

I must request accommodations at the beginning of each semester.

  • Complete this step by following directions for renewing your accommodations for the upcoming semester on the Office of Student Accommodation's website
  • I have the right and responsibility to disclose my disability to instructors, program supervisors or other parties when and if I choose to initiate a request for accommodations.
  • I am responsible for scheduling with my instructor all tests to be taken using my accommodations:
    • If taken online, communicate with your instructor about the extension of test time.
    • If taken on campus communicate with your instructor the location test will be taken at:
      • College Testing Center
      • or the Testing Center inside the Office of Student Accommodations.
  • This step  MUST BE scheduled at least  3-5 days in advance  of the test date as appointments are made on first come and space available.
    • This is required to ensure that the test will be waiting for the student when they arrive to take a test.
  • I must inform my instructor if I have a scheduling conflict that requires the accommodated test to be taken more than three hours after the regularly scheduled classroom test.
  • I will be sure to allow enough time to complete the test:
    • online by the published deadline date
    • on campus if using College Testing Center or the Testing Center inside the Office of Student Accommodations
  • Tests must be completed during the published hours for each location and by the deadline date provided by the instructor
  • I will contact the Instructor and the Office of Student Accommodations, in the event of an Emergency, to inform them and make the necessary schedule changes.
  • I will be on time to all classes and tutoring sessions.
  • I will notify the Office of Student Accommodations if I need books in alternate format at the start of each semester and will follow appropriate procedures for requesting books.
  • I will notify the Office of Student Accommodations if I need notes transcribed, enlarged, or other specialized services, at the start of each semester by providing copies of my syllabus to assist in scheduling & delivery of those services.
Access Your Accommodations Profile

The accommodation profile in Accommodate allows students previously approved for accommodation to access their personal information to renew accommodations for an upcoming semester.

Renew Accommodations

A previously approved Faculty Notification (FNL) must be renewed every semester. Renewal requests should be submitted 24 hours or later after enrolling in at least one class. Prior to approval, students may be required to meet with the OSA, but this is generally not the case.

Meetings are held to review accommodations, student responsibilities, and/or academic progress. Either OSA or the student can request a meeting at any time. Allow up to 5 business days to be contacted by OSA or for the request to be approved.

Requesting Additional Accommodations

Contact OSA by email, or by phone (804) 523-5628 or (804) 523-5290, or visit one of our offices to schedule an appointment. 

You can upload additional documentation to our accommodations portal or provide a copy to our office prior to your meeting.

Allow up to 5 business days to be contacted by OSA or for the request to be approved.

How to Request Accommodation Letters for Returning Students

Log into your Accommodate portal with the username and password that you use for MyReynolds. Bookmark this web address so you can log in any time you want. 

To submit a semester request, after logging in to Accommodate:  In the main navigation menu select Accommodation > select Semester Request > select Add New > select the Semester > select Submit for all classes OR select Review to select which individual courses you want to utilize accommodations

Email Statement

If you are new to Reynolds and not yet enrolled in classes, you should use your personal email to communicate with the Office of Student Accommodations, (OSA). Once the College activates your Reynolds student email address, OSA will only communicate with you through your Reynolds email address.
